Poster Presentation Guidelines

 

Aim of Poster Presentation

 

  • A poster is a graphic presentation of your research. While doing a poster presentation, please aim at generating active discussion from the poster
  • Use visuals more than words (photos, graphs, maps etc) to tell your findings
  • Limit text to one fourth of your poster space

 

Design and Layout

 

  • Size of poster is 3 ft (breadth) X 4 ft (height)
  • Orientation of the poster should be in portrait position (vertical long dimension)
  • Title of the poster should be on the top center
  • Poster should be read from left to right and top to bottom
  • Logo of Government of Nepal on Left bottom corner, and WCO Nepal on Rt bottom corner

 

Lettering

  • Title font:                                         70 Ariel
  • Title font in Capital letters
  • Text font Ariel to be readable from 6 feet
  • Use minimum size of 18
  • Name of the authors should be at the below the title in Italics (Vancouver Style) eg. R Kunwar, S Harpreet

 

Sub Headings of poster

 

  • Introduction / background
  • Objective
  • Methodology
  • Findings
  • Discussion
  • Recommendations

 

Visuals

 

  • All tables, figures, maps should have a brief title  eg. Table no1, map no 1 just below the visual at the center
  • Present numerical data in appropriate graphs rather than numbers
  • Make visuals simple as possible

 

Others

 

  • Use the standard template provided to make the poster
  • Keep your poster as simple as possible
  • Present enough data to support your conclusion
  • Poster discussion sessions are held in the Poster Area.
  • Be sure to make a note of the date and time of your poster presentation.
  • These details will be provided in the confirmation letter.
  • The presenting author must be present at the poster during the session
  • The presenting author should be prepared to speak briefly about the poster and answer any questions about the information presented.
  • The chair will visit each poster with the other authors and participants for a group discussion. 
  • This is an on-the-spot discussion: there are no facilities for overheads, slides, etc. are available.

 

Timings: Total 15 minutes for each poster

 

  • 10 minutes for presentations
  • 15 minutes for questions and discussion
  • You are encouraged to rehearse your presentation with slides in advance to ensure that your presentation fits within the allocated time.

Oral Presentation Guidelines

 

General considerations

  • Consider your audience while presenting
  • Practice and review before the presentation
  • Be familiar with the audio visual aids before presentation
  • Be confident and positive while you present and enjoy your presentation
  • Avoid reading from the slide as far as possible and maintain eye contact with the audience
  • Use visual aids for effective communications
  • Involve your audience for a lively presentation

 

Presentation template: Use a standard template provided by the organizers for the presentation

 

Time

  • You will be given 15 minutes for your presentation and 15 minutes for discussion from audience
  • A warning bell will ring on 10 minutes, second long bell on 14 minutes and exactly at 15 minutes the monitor will go blank.
  • Keep your presentation in time
  • You are encouraged to rehearse your presentation with slides in advance to ensure that your presentation fits within the allocated time.

 

Font Size

  • Ariel Font
  • Use font no less than 24 point
  • Use same font for your headlines
  • Use 44 point font for your title
  • Avoid italics
  • Avoid long sentences, abbreviations,
  • 6X6 Rule: Use 6 lines per slide and 6 words per line (Max)
  • Use dark text on light background and light text on dark background.
  • All Fonts should be readable from 6 feet distance

 

Audio-visual equipment

The following audio-visual equipment will be available:

  • One projection screen
  • One data projector
  • One laser pointer
  • Microphone
  • A PC Laptop

 

PowerPoint Presentations

  • Please submit your PowerPoint presentation by  15 Dec 2017.

Please note that there are often formatting inconsistencies between Mac and PC versions of Office, so please ensure you have vetted your presentation on a PC prior to the Conference. You may wish to provide your PowerPoint presentation on site. If so, please ensure you visit the Speaker Preparation Area at the start of the Conference.

 

Speaker procedures

 

  • If you have emailed your presentation, you are still required to visit the Speaker Presentation Room to confirm that your presentation file is loaded.
  • Please ensure that you have a copy of your presentation on a USB as a backup.
  • Please be in the auditorium hall no less than 15 minutes before the start of your session to meet the session chair(s).
  • The session chair(s) will time your presentation and give you a warning signal at 2 minute remaining.
  • In the interest of keeping the sessions to time, the session chair(s) will stop presentations that run over time.

 

Style of presentation

 

  • The organizing committee of the Conference would like to encourage all presenters to maintain a ‘conversational’ style of presentation rather than reading from a prepared script.
  • The aim of the Conference is to share information and ideas, and to generate discussion amongst attendees.
